Governance Over Email Is Not An Audit Trail.

Most document generation platforms treat approval as something that happens outside the system. The result is governance that lives in someone's inbox: informal, untracked, and invisible to a regulator. When a compliance question arises about which version of a form was live on a specific date, or who approved the most recent change, the answer requires searching email threads. That is not a defensible record.

Templx treats approval as a platform requirement, not an external process. Every template enters a workflow before it can go live. Every action in that workflow is logged. The audit trail is produced automatically as a byproduct of the approval process, not as a separate documentation step.

How The Workflow Designer Works.

    Visual Workflow Designer
    Drag-and-drop canvas for building multi-stage approval workflows with any combination of node types. Workflows are built on a node-based interface. Each node represents a stage, and stages are connected by routing logic defined at design time.

    Sequential, Parallel, and Conditional Routing
    All three routing types are combinable in a single workflow. Sequential stages must be completed in order. Parallel stages can be assigned to multiple reviewers with AND or OR completion logic. Conditional routing branches based on template attributes or metadata.

    Assignment by User, Role, or Email
    Each stage can be assigned to a named user, a defined role, or any email address including external reviewers. Stage assignment is set at workflow design time and can be updated without rebuilding the workflow.

    Escalation Engine
    Automated action when an approval stage is not actioned within a configurable time window. Each stage can be configured with an escalation rule: notify a manager, reassign to a secondary approver, or auto-approve after a defined period.

    Full Audit Trail
    Every approval action, rejection, escalation, and published version logged with a timestamp and user identity. The audit trail is automatic and cannot be disabled. Every action taken inside a workflow is recorded from the moment the platform is in use.

    Tenant-Level Default Workflow
    A fallback workflow that applies to any template submitted without a dedicated workflow assigned. Every tenant can designate one workflow as the default. Templates submitted without a specific workflow assigned will route through the tenant default automatically.

Workflows Are The Gate. Nothing Passes Without Completing One.

The approval workflow separates a submitted template from an active one. It sits between the Word add-in and the generation API. No template that has not completed its assigned workflow can produce a document. The audit trail the workflow produces is the record that demonstrates a governed process was followed.
