Templates In Shared Drives Are Not A Governance Strategy.

Most organisations manage document templates the same way: shared folders, email attachments, and version naming conventions that only the person who created them understands. When a regulator asks which version of a form was in use on a specific date, or who approved the most recent change, the answer requires searching email threads and folder histories. That is not a process that holds up to examination.

The workbench replaces that with a single governed library. Every template has a version number, an approval record, a status, and an owner. The history is automatic. Nothing gets lost in a folder.

What The Workbench Manages.

    Template Library
    A searchable, filterable library of every template in your tenant with live status and version indicators. Each template entry shows its current status, the last change, and who made it. Filtering by document type, status, or metadata makes large libraries manageable.

    Approval-Gated Versioning
    A new version number is only issued when a template successfully completes its approval workflow. Submitting a template from the Word add-in does not create a new live version. It creates a pending submission that must complete the workflow first.

    Preview With Test Data
    Generate a preview PDF with injected test values before any template enters the approval queue. Before submitting for approval, authors can verify that placeholders resolve correctly and the document looks right with real data.

    Document Type and Metadata
    Assign document types and metadata keywords to every template for organised retrieval and future document indexing. Each template is tagged at creation and the tags travel with every version.

Template management sits between the Word add-in and the generation API. It owns versioning, approval state, and the audit trail. The generation API only serves templates that the management layer has marked as active. Nothing that has not been approved can produce a document.
